Who is responsible
AIOS.Africa is operated by AIOS Africa (Pty) Ltd (registration number 2025/596003/07), a South African company based in Bethlehem, Free State. Contact info@aios.africa about this notice or your personal information.
What you choose to share
Our enquiry and audit forms collect the contact details you enter, along with information about your organisation, its operations and the help you are looking for. Contact details may include a name, email address, telephone number and business name.
Audit questions can cover operations, staffing, systems, finance and governance. Operational questions are optional. Please do not include banking credentials, identity documents, health information or identifying details about learners, employees, church members or customers in your answers.
Why we use it
We use enquiry and audit information to understand your needs, respond to you, prepare the requested assessment and follow up on that request. Further consulting or implementation work is agreed separately.
Newsletter subscription is a separate choice. Sending an enquiry or completing an audit does not automatically subscribe you. If you request The AIOS Dispatch, we use your email address for those updates. You can ask to unsubscribe by emailing info@aios.africa.
Where website information goes
When live submissions are enabled, information is sent through a Netlify server form handler and stored in Supabase. Resend is used for email notifications related to your enquiry. Netlify hosts the website. These providers and any enabled form verification service may process technical request information to operate and protect the service.
If you request an AI audit, your answers are processed by our AI tools, including Anthropic's Claude, to prepare your opportunity report; they are not used to train AI models.
Some of the providers we use to deliver this website and your audit process information outside South Africa, including in the United States. These are our website hosting, our database, our email delivery, and the AI model that prepares your audit report. South African privacy law allows this where the processing is necessary to provide the service you have requested. We are formalising data-processing terms with these providers and limit the personal information shared with them. We do not sell personal information to advertisers.
A form clearly marked “Design preview” does not send your answers to our business systems. Do not rely on a preview completion as an actual enquiry.
Your documents in an AIOS deployment
A client deployment is separate from this website. For an on-site deployment, your documents are stored and indexed on your own hardware. When you ask the assistant a question, relevant extracts are sent to the AI model to compose the answer. Connected services can also process information.
Data locations, access permissions, providers and safeguards should be agreed as part of the deployment scope. Local storage does not mean that every stage of processing stays on the premises.
Website storage and measurement
The website does not use advertising pixels or advertising cookies. Its interactive examples work without sending personal information to an analytics provider. If cookieless audit measurement is configured, it records only the audit event, questionnaire type, step number and page path. It excludes answers, contact details, query strings and persistent visitor identifiers, and respects supported Do Not Track and Global Privacy Control signals. Form security checks, when enabled, may use a verification service to distinguish genuine requests from abuse.
If you choose “Save my draft”, the audit stores your details and answers in this browser. Use this only on a device you trust. You can clear the draft, and drafts older than seven days are removed on your next visit. Closing the tab does not by itself clear a saved draft.
Retention and security
We keep personal information for the purpose for which it was collected, including relevant operational and legal requirements. Contact us if you want to understand the retention of a particular record or request its removal.
We use access controls and technical measures to protect information. No online system can guarantee absolute security. Please use the forms only for the information they request.
Your choices and rights
You can ask to access or correct your information, request deletion, object to direct marketing or withdraw consent where consent is the basis for processing. A request may be subject to applicable legal obligations and identity verification.
Email info@aios.africa and tell us what you need. You may also raise a concern with the Information Regulator of South Africa.
Changes to this notice
We may update this notice as the website and services change. The date above identifies this version.
